WESS Fundraising Committee, ALA Midwinter Meeting, Philadelphia January 13, 2008

The meeting began at 10:35 and ended at 11:40.
Donations earmarked for the social event in Anaheim need to be received by March. We still need to raise about $1,300 for the event ($800 minimum + $500 as a cushion) if we use the Casalini donation to support this event. Budgeting for it is based on ticket sales of about 100, with each ticket costing $30. If sales are significantly less, more external funding will be needed to make up the difference.
Touzot has traditionally supported programs and speakers, Aux Amateurs has donated this year for that purpose. The proposed expenses for the 2008 program are covered by these donations.
We need to explore gifts in kind from vendors, e.g. donated frequent flier miles, which librarians could use for travel to book fairs. We also need to explore new donor prospects. Several possibilities were discussed. We're free to approach any donor with whom we have an established history. Otherwise we first need to get clearance from ACRL, especially in a year with an ACRL conference.
When it comes to funding professional development, vendors are likeliest to support travel to book fairs. Casalini, Touzot, and Harrassowitz will be approached informally, to determine whether they could help fund such travel **beyond** what they normally contribute to WESS. If their response is positive, others will be approached.
Surplus funds cannot be carried over from year to year. Any funds remaining after the annual social event has been paid for will be offered to the WESS membership at large for supporting professional travel. Members who wish to apply for such funds must be able to present receipts, by the end of ACRL's fiscal year, for trips they have paid for (but not necessarily taken yet).
Special fundraising will be necessary for the upcoming international conference. For the sake of coordination, a sub-committee may be set up, consisting of people from the Fundraising Committee and the Conference Planning Committee. The sub-committee would report to the chair of Fundraising.
It is important to thank **all** our donors in the newsletter and in newsletter-fliers, not just those who support these publications.
